1. Who operates Inbox Warmup

2. Information we collect
We may collect account and identity information such as name, business name, email, phone, country, billing address, account role, and verification status; subscription and transaction references; domain, DNS, SMTP, mailbox, provider, campaign, template, usage, support, device, browser, IP, log, and security information; and messages or attachments you choose to send to support. We do not need or intend to store complete payment-card numbers. Payment credentials are processed by Razorpay, PayPal, banks, or other payment providers.
3. Connected infrastructure and email processing
When you connect SMTP servers or mailboxes, the platform may process hostnames, ports, usernames, encrypted credentials or tokens, sender identities, provider responses, folders, message identifiers, headers, authentication results, authorized warm-up content, replies, and placement signals. Access is limited to features you enable and should be scoped to accounts you are authorized to control.
4. Why we process information
We process information to create and secure accounts; provide trials and paid subscriptions; verify payments; allocate credits and enforce hourly limits; test SMTP; authenticate domains; run warm-up and reply functions; monitor reputation and system health; provide support; detect abuse; maintain audit records; improve reliability; communicate service notices; comply with law; and protect users, providers, recipients, and the platform.
5. Service providers and disclosures
We may use hosting, database, security, monitoring, email, analytics, support, and communication providers. Razorpay and PayPal process payments under their own privacy terms. Zoho SalesIQ provides the live-chat widget and may process chat, device, browser, cookie, and visitor information. Mailbox, DNS, and SMTP providers process data independently under their terms. We may disclose information to professional advisers, authorities, or a successor organization when legally required or reasonably necessary. We do not sell customer SMTP credentials, mailbox content, or account data.
6. Cookies and support chat
Essential technologies may keep you signed in, protect sessions, remember preferences, and prevent abuse. Zoho SalesIQ and limited analytics tools may use cookies or similar technologies to provide live support and understand website activity. Browser settings may block these technologies, but some features may not work correctly.
7. Security
We use safeguards intended to protect information, including HTTPS, credential encryption, access controls, owner scoping, secure sessions, secret masking, audit logs, rate limits, monitoring, backups, and separation of customer data. No system is completely secure. Customers must protect passwords and provider credentials and report suspected compromise promptly.
8. Retention and deletion
We retain information for as long as needed to provide the service, maintain security and audit history, resolve disputes, comply with tax and legal obligations, prevent fraud, and enforce agreements. Account deletion requests are subject to identity verification and lawful retention requirements. Backups may retain deleted data for a limited cycle before secure expiry.
9. Your rights and choices
Subject to applicable law, you may request information about processing, access, correction, updating, deletion, withdrawal of consent where consent applies, grievance handling, or nomination and other rights available under applicable Indian data-protection law. Other jurisdictions may provide additional rights. We may verify identity and authority before acting and may retain information where a legal exception applies.
10. International processing
Providers and infrastructure may be located outside your state or country. Where required, we use reasonable contractual, organizational, and technical safeguards and follow applicable restrictions on cross-border processing.
11. Children
Inbox Warmup is a business service intended for adults and organizations. We do not knowingly offer accounts to children. Contact us if you believe a child has submitted personal information.
12. Changes to this Policy
We may update this Policy for product, security, legal, or operational changes. The updated version will show a revised date and additional notice will be provided where required.
